Overview

Nakupuna Solutions is seeking a Staff Assistant II. The CT Front Office Staff Assistant II provides essential administrative and operational support to senior leadership and staff within the Bureau. This role helps facilitate the flow of information, ensures timely responses to high-level requests, and supports the coordination and quality control of official documents and communications. The Staff Assistant works collaboratively with internal and external stakeholders, maintains awareness of priorities and deadlines, and assists in ensuring alignment with departmental standards and procedures. This position contributes to the overall efficiency and responsiveness of the CT Front Office.

 

The Department of State’s Bureau of Counterterrorism (CT) leads the U.S. government's efforts to counter terrorism abroad and to build the capacity of international partners to prevent and respond to terrorist threats. Administrative and Professional Support Services play a critical role in advancing CT’s mission by providing operational, logistical, and programmatic support across a range of initiatives. These services ensure the efficient functioning of the Bureau by supporting policy coordination, budget and financial management, human resources, travel, procurement, and other essential administrative functions that enable CT to deliver timely, effective counterterrorism programming worldwide. The place of performance for this work is Washington, DC, and some travel may be required.

Responsibilities

  • Manages day-to-day operations and serves as a key liaison with CT personnel, other U.S. Government entities, and foreign governments.
  • Assists staff in coordinating the production of information and materials, including quality control and paper flow (e.g., policy guidance, strategic documents, information and action memoranda, speeches, articles, congressional testimony, talking points, and background information related to interagency or international issues).
  • Supports timely action by relevant managers and staff on items requiring the Coordinator’s attention; reviews draft materials and makes or suggests edits as appropriate, anticipating likely questions.
  • Reviews documents and incoming mail to determine content and assign appropriate action or distribution within the Bureau and CT Front Office.
  • Manages a high volume of incoming requests from officials inside and outside the Department for meetings, conferences, speaking engagements, and participation in major public events. Coordinates with relevant staff to ensure timely responses.
  • Ensures that materials requiring action are brought to the attention of Principals and Deputies, and that information and guidance from the Coordinator are promptly communicated to staff.
  • Prioritizes tasking requests for memoranda and other materials in accordance with directives from the Department’s Executive Secretariat and under appropriate government supervision.
  • Assists with tracking and monitoring the status of memoranda and correspondence within the Bureau.
  • Reviews all outgoing documents for proper format, consistency, grammatical accuracy, completeness, and clarity; provides necessary edits or returns documents to originators for revision.
  • Advises CT personnel on overdue items, upcoming deadlines, issue priorities, and required formatting for materials supporting the Office’s mission, in accordance with Department of State regulations and under appropriate government supervision.

Qualifications

Skills/Qualifications: The CT Front Office Staff Assistant II must be a self-directed professional capable of engaging effectively with senior leadership across the Department and interagency. Success in this role requires a strong understanding of organizational structure, internal roles, and the flow of high-level communications and documents. The position demands the ability to manage competing priorities under tight deadlines, make informed decisions when faced with ambiguity or process delays, and maintain a high standard of quality in document handling and task execution. Adaptability, judgment, and attention to detail are essential. 

 

Education and Experience:

  • Bachelor’s degree required.
  • Minimum of one (1) year of relevant experience required.

Clearance Requirement: Top Secret clearance with the ability to obtain TS/SCI required. Must be a U.S. citizen. 

 

Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation:

  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.

The Nakupuna Companies use a market-based compensation strategy to ensure that our employees are compensated within applicable market rates commensurate with multiple factors, including but not limited to the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability, organizational requirements, and position location. The projected compensation rate for this position is $81,500 to $117,500/yr. The salary range displayed represents the typical rate for this position and is just one component of Nakupuna Companies total compensation package for employees.
